The file total does not match my monthly sales.
Check the exported statuses (Statuses & Automation tab): only orders whose status is selected are included. A Pending payment or Cancelled order is only exported if its status has been added.
An order from the period is missing from the export.
It may already have been exported: look at the Accounting export column of the orders list, or untick “Exclude already exported orders”. Otherwise, check the logs: its amounts may be inconsistent by more than 5 cents (often because of a plugin that changes totals); it is then flagged and not locked. Remember: a payment or a credit note is only exported after its invoice, in the period of its own date.
No payment entries appear although my orders are paid.
The gateway concerned has no treasury account (Payment Gateways tab). Without it, only the invoice is generated, and the history says so.
One sale is split over two sales accounts.
That is the breakdown by category: the order contains products from categories mapped to different accounts. Remove a mapping if you do not want this.
The monthly email did not arrive.
Check that automatic sending is enabled, then look at the history (an “Automatic” export should be there) and at the logs. Triggering depends on WP-Cron: set up a system cron on a low-traffic site. No email is sent if the period has no entries.
My export stays “Queued” or the progress bar does not move.
Exports go through Action Scheduler (WooCommerce → Status → Scheduled Actions, group woo-accounting-export). Check that the scheduler is running. After 30 minutes without activity, the export is marked as failed with an explicit message.
My export failed.
The reason is shown in the history and in the logs. If it failed during extraction, no order was locked: simply start the export again.
Document numbers do not follow my invoices.
Choose the document number source in the General tab. By default it is the order number, which is not sequential.
Stripe or PayPal fees do not appear.
Check that the payment gateway fees account is not empty and that the order carries the expected meta; otherwise, enter the right key in the Payment Gateways tab. A missing fee is booked gross, without error.
DATEV rejects my file.
Check that the consultant and client numbers in the file header match the client open in DATEV: set them with the woo_accounting_export_datev_header filter (see DATEV: consultant and client numbers). Also check the account length (4 digits by default).
Formats other than FEC are greyed out with “— Premium”.
These formats require an active Premium license or a running trial. With the free version, install the Premium version (see Upgrade to Premium); with Premium, check your license status in the plugin’s menu.
The free version was deactivated after installing Premium.
That is normal: both versions do not run at the same time. Premium uses the same settings, history and locks.
The plugin does not appear, or a notice says WooCommerce is required.
WooCommerce is missing, deactivated or older than 8.0. The plugin stays inactive until then.
The downloaded file is no longer available.
It was deleted from the history or purged (only the last 100 exports are kept). Start the export again with “Exclude already exported orders” unticked.
How do I know whether HPOS is active?
WooCommerce → Settings → Advanced → Features. The plugin works the same way with or without HPOS; nothing to do on your side.
Good to know
- No automatic B2B / B2C distinction for OSS.
- The refund payout is not generated.
- FEC: the last entry number is not remembered from one export to the next.
- One currency assumed per period, without conversion.
- Nginx server: add a
denyrule for the exports folder.
