Every format shares the same engine: going through the entries, checking the balance, numbering. Each format only defines its separator, its columns and how a line is written.
FEC is included in the free version; the 12 other formats, marked Premium, require the Premium version (or the 14-day trial).

Sample files generated by the plugin from a demo shop: one month of orders (September 2025) with invoices, payments per gateway, fees, credit notes and several VAT rates. Fictitious customers. Every file is balanced: €54,157.21 in debits and in credits. Labels are in the language associated with each format (automatic setting): French for FEC, Sage, EBP, Ciel and Pennylane, German for DATEV, Dutch for Exact Online, English for Xero, QuickBooks, SAP FI/CO and Zoho Books, Spanish for Holded. VAT rate and payment method names come from the shop’s configuration and are not translated. The Xero sample is over 300 lines: it comes as a ZIP of three files, as the plugin delivers it.
Download all 13 samples (zip, 104 KB), or each file with the “Sample” link under the format name in the table above. Use them to test the import into your software before installing the plugin.
DATEV: gross amounts, VAT calculated by DATEV
In DATEV, the amount of an entry is always gross: DATEV calculates the VAT itself, through the sales account with automatic VAT or the tax key (BU-Schlüssel). The plugin therefore exports each invoice and each credit note including VAT, with one line per sales account and per rate, and no VAT line: the VAT accounts (1776, 1771…) are collective accounts that DATEV refuses to post to.
| Situation | Account and key used |
|---|---|
| Sale at 19% / 7% | Sales account with automatic VAT for the rate: 8400 / 8300 (SKR03), 4400 / 4300 (SKR04). A 7% line configured on 8400 goes to 8300. |
| OSS sale (consumer in another EU country) | 8320 (SKR03) / 4320 (SKR04), key 240 (10 for an entry dated before 2025), destination country and rate in fields 40 and 41. |
| Sale at 0% (export outside the EU, intra-community supply…) | The configured account is kept and the export flags it: the right account depends on the reason for the exemption, to be assigned per product category with your accountant (Steuerberater). |
| Payment | Account / contra account lines to the cent; Belegfeld 1 repeats the invoice document number for matching. |
The table of automatic accounts can be changed with the woo_accounting_export_datev_accounts filter. Belegfeld 1 only keeps letters, digits and $ & % * + - / (36 characters at most): otherwise DATEV rejects the line.
DATEV: consultant and client numbers
The plugin does not know your DATEV numbers. Defaults: consultant 1001, client 1, fiscal year starting on 1 January, 4-digit accounts. DATEV rejects a file whose numbers do not match the open client: set them with the woo_accounting_export_datev_header filter. The batch description (“Bezeichnung”) defaults to the name of your site.
add_filter( 'woo_accounting_export_datev_header', function ( array $header ) {
$header['consultant_number'] = 12345;
$header['client_number'] = 678;
$header['fiscal_year_start'] = '20260101'; // YYYYMMDD
$header['account_length'] = 4; // 4 to 8
return $header;
} );Xero: date, tax rate and 300-line files
The lines of a transaction share a single narration, which lets Xero group them into one journal. The date uses the DD/MM/YYYY format by default (filter woo_accounting_export_xero_date_format); since VAT is already written to its own accounts, the tax rate is “No VAT” (filter woo_accounting_export_xero_tax_rate, depending on the region of your Xero organisation).
Xero’s import accepts 300 lines per file. Above that, the export is split into files …-1.csv, …-2.csv… delivered in a ZIP archive, without ever cutting a journal: import them one after the other.
QuickBooks: number and date
The No. column holds the entry number: QuickBooks groups lines with the same number into one journal entry, so an order’s invoice and payment stay separate. The date uses the DD/MM/YYYY format; for a US company, switch to m/d/Y with the woo_accounting_export_quickbooks_date_format filter. QuickBooks matches accounts by name: check them on the first import.
Zoho Books and Holded
Zoho Books: the lines of one entry share the same Journal Number, which lets Zoho group them. On the first import, map the columns in the manual journals import wizard.
Holded: amounts are written with a decimal comma, as Holded expects. The optional columns Notes, Type of entry and Dotted are left empty or at 0. Labels are in Spanish by default.
FEC: entry number
In a FEC, each transaction gets an entry number (EcritureNum) starting from the “Number of the first entry” entered when you start the export (1 by default). The plugin does not remember the last number from one export to the next: to continue a sequence, enter the last number of the previous export + 1. It is shown in the history (“no. 251 → 312”). For a legal FEC, preferably export the whole fiscal year at once.
Software that imports the FEC directly
The FEC, included in the free version, is accepted as is by several French accounting packages without a dedicated format: Pennylane (in addition to the dedicated Pennylane format; Pennylane’s tool expects an empty ValidDate column, which the plugin fills in, so empty it before importing or use the Pennylane format), Tiime Expert (with a fiscal year open over the period) and Cegid Loop.
Odoo has no single file format for importing entries: use a simple CSV export (Sage or EBP, for example) and map the columns in Odoo’s import wizard.
Beta formats
DATEV, Xero, QuickBooks, SAP FI/CO, Pennylane, Zoho Books and Holded follow the import specifications published by their vendors. As with any new accounting import, run a first test with a sample file before going live.
File protection
- A label starting with
=,+,-or@is prefixed with an apostrophe so that it is not run as a formula when opened in a spreadsheet. - Files are stored in
wp-content/uploads/woo-accounting-export/, protected by.htaccess, with unguessable names, and can only be downloaded from the history (capability and security token checked). - On an Nginx server,
.htaccesshas no effect: add the rulelocation ~* /uploads/woo-accounting-export/ { deny all; }.
